Custom Tour Handbook

Prior to departure, we provide each traveler with a printed handbook outlining the details of the tour. This includes an hour-by-hour itinerary followed by our “Things to Know Before you GO!” section. This portion of the Handbook is an extremely useful tool in helping group members prepare for their trip. It includes a short history and local customs of the areas being visited; banking hours, tipping customs, currency rates, time zone, language, attire, and much more. The handbook concludes with customized free time recommendations and a section for notetaking.

The Traveler’s Resource website is your group’s online resource for preparing for your tour. The site is customized exclusively for your group, and is full of exciting and interactive features that you will find informative and helpful before, during, and after the tour.

Web Payment System

Our Web Payment System makes it effortless for you to collect payments for your trip. Your group members log-in to the secure website where they can review the cost of the trip and all payment deadlines. They can then register for the trip and make credit card payments. They will then receive automated reminders when payments are coming due.

As the group leader, you will receive emailed reports every Monday that detail who has made payments and what is still due for each person. It makes it easy for you to see who is signed up and paid and who is perhaps late.

The hours of collecting, tallying and mailing checks are off your desk so you can focus on the music preparations. Travelers have the ease of making payments from their home computers and having immediate access to all their trip information.

Concert Publicity


We take pride in our ability to successfully publicize concerts. In order to ensure you have an audience, we work closely with local musicians and music organizations to spread the word about a visiting choir performance. We pair ensembles with local musicians for “friendship concerts”, promoting community awareness of the concert.

Additionally, we print full color posters which are hung throughout the region where you’ll perform.  We use our partner offices to place advertisements in local papers, to place concerts in the calendar of events and often to have the concert publicized by radio.  After all of your hard work getting your choir to their destination, we will make sure that your concert opportunities are a resounding success!


Hotel Standards



Music Contact International uses only hotels, whether three or four-star properties, that have the amenities and space to make people feel comfortable and well-rested while on tour. We are also happy to offer alternate types of accommodations, such as university dorms or youth hostels, depending on your group’s needs. 

We work with you to decide when to stay directly in the heart of a city and when to stay in a country-side hotel according to the timing of the touring day.  Varying the settings and styles of hotels can also add a lot to the uniqueness of a tour.  Combining large hotels, for example, with traditional hotels and local ambiance can create a great balance during a tour. We work with you to match your group to the hotel style and setting that is perfect for your group.



Restaurant Standards



One of the fun ways to discover the unique culture of a region is by enjoying the local cuisine.  It is an important part of our work to make recommendations for excellent restaurants where the group can sit down and experience the flavors of the country. 

 Whether it is a delicious meal of Bratwurst and Sauerkraut in Munich,  Paella in Barcelona, or a five-course Italian feast on the Adriatic Coast of Italy, Music Contact International will make your meals a memorable experience that enhance your visit to a different culture.

Motor Coach Standards


We take special care in selecting motor coaches, since many ensembles travel over long distances while on tour. Our motor coaches are always new models with full amenities, such as:

Local Guide


In addition to your full time Music Contact International Tour Manager, a local guide will conduct sightseeing tours along the way. Guided city tours can be customized to reflect your group’s special interests and include any additional sights you request.

For example, you may want the local guide to focus on the history of Mozart's years in Vienna, or the contemporary music and art of Paris. We will design the guided city tours to match your group’s interests.

The local guides are a great source of information about the customs, education systems and government structures of the area, and they are willing to elaborate on questions about cost of living and what life is like for local citizens. The tours go beyond seeing the sights and take you into the lives of the locals providing a deeper understanding of their culture.
